A Day in My Life as a NYC Travel Agent: Spreadsheets, Snacks, and Sending People to Paradise

You might imagine vacation planning involves sipping something tropical while casually saying, “Let’s send you to paradise.”

And sometimes, yes, there is a coffee involved.

But behind every smooth cruise vacation, dazzling island resort stay, and perfectly timed flight is a surprising amount of research, spreadsheets, phone calls, follow-up emails, and me asking, “Wait… what time does that flight actually land?”

Welcome to a day in my life as Ayesha H, your NYC and Cruise Specialist at AHTRAVELSNYC.

I’m an NYC local, a mom of three, a Scorpio, a serious foodie, and the person behind the details that help your vacation feel effortless. I started AHTRAVELSNYC in October 2025 because I wanted to create a more personal, thoughtful way to plan travel: one where you are not left alone with 47 browser tabs and a mild panic attack.

I’m the woman behind the emails, itinerary comparisons, fare checks, and “just one more option” messages.

I’m also a mom of three, which means I already understand that plans can change faster than a child can spill juice on a clean shirt. Flexibility, patience, and backup plans are not optional skills in my world. They are survival tools.

As a Scorpio, I naturally investigate everything. Cabin locations? I’m checking them. Flight connections? I’m studying them. Resort room categories? I want to know exactly what “partial ocean view” means before you arrive and discover the ocean is visible only if you lean dramatically to the left.

I’m also a proud foodie. Give me fish, scallops, crab legs, or shrimp and I am very happy. Lobster, however, can respectfully sit this one out. We all have boundaries.

  • Resort and cruise availability
  • Weather alerts that could affect travel
  • Messages from clients who had a late-night travel thought

You know the kind of thought:

“Could we maybe change the room, add a transfer, move the flight, and make the trip two days longer?”

Absolutely. Let me just take one sip of coffee first.

I also review upcoming cruises from New York-area ports, including sailings from Manhattan, Brooklyn, and Cape Liberty. The departure port can affect your hotel, transportation, arrival time, and the entire tone of your pre-cruise experience.

That is why I love helping travelers plan the whole journey, not just clicking “book.”

8:30 a.m.: The Spreadsheet Makes Its Entrance

Every trip has a personality, and every trip gets its own planning system.

My spreadsheet may include:

  • Resort inclusions
  • Transportation arrangements
  • Deposit deadlines

The spreadsheet is not glamorous, but it is powerful. It helps me see the full picture instead of treating each reservation like a lonely little island.

And if the trip is to an island resort, I want to know more than the nightly rate. I’m looking at the room design, views, inclusions, dining options, transfer time, wellness amenities, and whether the resort actually matches the vacation you described.

A family trip to the Bahamas should not be planned the same way as a quiet wellness escape to Jamaica. A romantic cruise should not be handled like a high-energy family sailing. Your travel style matters.

Late Morning: Client Calls and Vacation Storytelling

This is one of my favorite parts of the day.

During a consultation, I want to know what you are really hoping to feel on your trip.

Are you looking for:

  • A peaceful resort where you can sleep past 8 a.m.?
  • A cruise with excellent dining and dazzling entertainment?
  • A family vacation where everyone has something to do?
  • A Bahamas resort with sparkling water and minimal logistics?
  • A Jamaica escape with beautiful scenery and a slower rhythm?
  • A Bali itinerary for a meaningful, restorative trip?
  • A long-haul flight plan that does not leave you feeling like a folded lawn chair?

Tell me everything. I want to know your dates, budget, travel companions, preferences, deal-breakers, food concerns, mobility needs, celebration plans, and how much planning you want to handle yourself.

Usually, the answer is: “Please handle most of it.”

That is completely fine. In fact, that is where I shine.

Noon: Snacks Are a Business Strategy

Around lunchtime, I try to step away from the screen.

Try is the important word here.

Sometimes lunch is a proper meal. Sometimes it is a quick snack eaten while reviewing a resort comparison. And sometimes I am thinking about crab legs while answering a question about baggage allowances.

Food keeps the planning engine running. My ideal travel-planning snack situation includes seafood, coffee, and absolutely no lobster. Again, I am consistent.

The midday stretch is also when I follow up with suppliers, request updated pricing, confirm room categories, and check whether a promotion is still available.

Promotions vary by supplier, dates, room category, and booking terms, so I never want you to rely on a vague “deal” without checking the actual details. A discount is only useful if it fits your trip.

Afternoon: Flights, Fine Print, and the Art of the Backup Plan

Flights deserve serious attention, especially for long-haul travel.

I look at:

  • Departure and arrival times
  • Connection length
  • Airport changes
  • Baggage rules
  • Seat options
  • Overnight layovers
  • Arrival timing before a cruise
  • Whether the itinerary gives you enough recovery time

If you are sailing, I generally prefer building in breathing room rather than sending you sprinting from the airport to the terminal with your suitcase wheels making a noise that sounds like a tiny helicopter.

Arriving early, especially before a cruise, can help protect your vacation from delays, weather, traffic, and the occasional airline plot twist.

I also discuss travel insurance guidance because unexpected changes can become expensive very quickly. Insurance is not a magic wand, and coverage depends on the policy, but understanding your options before departure is much better than searching for answers after something goes wrong.

Late Afternoon: Booking the Details You Do Not Want to Chase

Once you approve your plan, the real detail work begins.

I may be coordinating:

  • Flights
  • Cruise cabins
  • Resort rooms
  • Airport transfers
  • Hotel nights before sailing
  • Excursions
  • Special requests
  • Dining preferences
  • Travel insurance information
  • Payment deadlines
  • Confirmation documents

This is where personalized service matters. Your vacation is not just a destination on a screen. It is a series of moving pieces that need to fit together.

I want you to know what is booked, what is due, what is included, and what to expect next. No mystery. No “I think that was included?” conversations at the airport.

Evening: One More Fare Check… Probably

The day may technically be winding down, but travel planning does not always respect office hours.

I might check a fare one more time, answer a client question, review a new cabin option, or send an updated itinerary. Sometimes that “one more check” becomes several more checks because a better flight, room, or sailing suddenly appears.

This is also when I think about the bigger vision for AHTRAVELSNYC.

I want to keep building a company rooted in trust, personal service, and ethical travel planning. I also dream of creating a charitable organization in the future. Something that gives back and helps make meaningful experiences more accessible to people who may not always get the opportunity to travel.

That dream is still growing, but it matters to me. Travel can create joy, connection, confidence, and memories that stay with you long after you unpack.

You do not need to know exactly where you want to go before reaching out.

You can start with:
